Exporting and Importing Google Calendar or Docs Data - TB13177

Overview

MSU now has an agreement with Google to offer Google Apps access using our MSU institutional identifiers (MSU NetIDs/password). We are taking the steps necessary to widely offer the service via a portal page.

Unfortunately, one of the pre-provisioning steps necessary to implement the institutional access has had an unexpected negative effect on a few users who had previously created a Google account using their NetID@msu.edu as their Google login credential.

Typically an affected user runs into issues when they log in to the account they had created (a message displays regarding "Another User") and/or the user is unable to save new Google Calendar events or new Google docs files.

The affected users will need to move their calendar and/or docs data from their "old" Google account to the new MSU-linked account. This article provides information specific to MSU's implementation as well as to Google's help files regarding calendar and docs exporting.

In addition to the recently affected end users, the procedures should be useful to anyone who might wish to move data from one Google account to another.

Exporting Google Calendar data

Google provides the following guidance on exporting your data:
  1. Log in to the "old" account from which to export data
  2. If a warning/error message displays regarding "Another User", select the "skip this step for now" option.
  3. Follow the steps on this help page to export:
    http://www.google.com/support/calendar/bin/answer.py?hl=en&answer=37111
  4. Log out

Typically, a compressed (zip) file will be created and saved to your "Documents" or to your "Downloads" folder in the form NetID@msu.edu.ical.zip

Importing Google Calendar data

Google provides the following guidance on importing your data:
  1. UNZIP the saved file (typically found in your "Documents" or "Downloads" folder in the form netid@msu.edu.ical.zip. One or more .ics files will be created.
  2. Browse to http://www.google.com/calendar/a/msu.edu and log in to the MSU-linked account using your MSU NetID and password.
  3. Follow the steps on this Google help page to import:

Each of the individual .ics files must be uploaded.

Exporting Google Docs data

Google provides the following guidance on exporting your data:
  1. Log in to the "old" account from which to export data
  2. If a warning/error message displays regarding "Another User", select the "skip this step for now" option.
  3. Follow the steps on this help page to export:

  4. Logout

Each file must be individually exported.

Importing Google Docs data

Google provides the following guidance on importing your data:
  1. Browse to https://docs.google.com/a/msu.edu/ and log in to the MSU-linked account using your MSU NetID and password.
  2. Follow the steps on this help page to import:
    http://docs.google.com/support/bin/answer.py?hl=en&answer=50092
  3. Log out

Please note that each file must be individually imported.

Other issues

Additional export and import activity may be necessary for other Google Apps and services that have saved data.

Linking to outside services such as YouTube will have to be replicated in the new MSU-linked account.

Issues regarding access to sites.google.com continue to require special handling.
