Overview
The address book function in mail.msu.edu allows users to maintain personal address lists of contacts as well as distribution lists for easily emailing a group of users.Many users will want to create and maintain a personal address book, that with proper settings, will be searched first.
The settings below are recommended for optimal use.
Create a Personal Address Book
- In the sidebar menu:
- Click on Options to drop down the Options menu choices
- Click on Address Book to display the Options for Address Book / Display Options page
- Click on the My Address Books icon at the top of the page. The Manage Address Books page displays.
- If an address book is listed in the form of netID's Address Book (ie: sparty's Address Book), go on to the next section.
If there is not an address book listed in the form of netID's Address Book (ie: sparty's Address Book):- Click on the Create a new Address Book button.
- Type a name for the address book in the Name field and click on Save. We recommend using your NetID as a name (ie: Sparty in the examples as shown below).
- Click on the Options icon at the top of the screen to re-display the Options for Address Book / Display Options page
- Continue with the steps below to set options for optimal use and searching.
Set / Verify Your Address Books Options
In the sidebar menu:- Click on Options to drop down the Options menu choices
- Click on Address Books to display the Options for Address Book / Display Options page
- Click on Address Books under Display Options
- When the Address Books page displays:
- Click on the drop-down below "This will be the default address book when adding or importing contacts" and select your address book from the drop-down list.
- Locate and select your address book in the window entitled Address books that will not be displayed
- Click the pointer to move the selected address book into the window entitled These address books will display in this order
- Select your address book in that window and click on the UP arrow to move it ahead of the MSU Shared Directory in the list.
- Click on Save Options. The Options for Address Book / Display Options page redisplays.
- Again, click on Address Books under Display Options.
- Click on your address book in the window below Select the address books that should be used for synchronization with external devices. The page will look similar to the example below.
- Click on Save Options.
Open Mail Options / Address Books
- Open the Inbox.
- Click on the Options icon displayed at the top of the page.
- The Options for Mail page displays. Click on Address Books (on lower right).
Verify Your User Address Book Settings
With the Options for Mail / Address Books page displayed:- Use the pointer and arrows to move your address book into the Selected Address books window and to list it first (see example below).
- Click on the Address book that reflects your NetID (NOT the MSU Shared Directory). Sparty's is shown in the example.
- A list of available search fields displays in the bottom box.
- Select BOTH Name and Email by holding down the "Control" key for Windows users, and "Command" for Mac users.
- Click on the drop down box under "Choose the address book to use when adding addresses". Verify your Address book is selected that reflects your NetID (NOT the MSU Shared Directory). Sparty's is shown in the example.
- The page will look similar to the example below.
Note: A critical setting that is often missed is highlighted in the example. - Click the Save Options button
Verify MSU Shared Directory Settings
With the Options for Mail / Address Books page displayed:- Click on MSU Shared Directory.
- A list of available search fields displays in the bottom box.
- Select BOTH LastName and Email by holding down the "Control" key for Windows users, and "Command" for Mac users.
- The page will look similar to the example below. Click the Save Options button
